Client fit
Know which clients to bring to Fishbowl.
Start with clients who buy and resell, build and assemble, or ship from more than one warehouse. Whatever they make, move or sell, the count, the cost and the books stay in step.
Clients that buy and resell
What changes with Fishbowl
- The count on the screen matches the shelf, scanned at every receipt and pick
- Reorders arrive already drafted, before the stockout, waiting on one approval
- Shopify and Amazon orders flow in, invoices and bills flow to QuickBooks, nothing rekeyed
Clients that build, assemble or mix
What changes with Fishbowl
- Every finished good carries the cost of the parts that went in, the day it's built
- Lots and batches trace end to end, with the audit trail an inspector asks for
- They know what's buildable, what's short and what it will cost before the shift starts
Clients that ship from multiple warehouses
What changes with Fishbowl
- Receive, put away, pick, pack and ship are one scan each, so the count holds between physicals
- Each 3PL client's stock is accounted for on its own
- EDI orders and carrier labels run without anyone rekeying them
Not sure which Fishbowl fits a client? Three questions: what they build, how deep the bills of materials go, which QuickBooks.
"The time Fishbowl saves us is equivalent to two office people per day. It allows us to do more with less staff and integrates everything into one piece of software."
Tim Balsimo, Quality Pet Products
Month-end
End the month-end plug. Every entry Fishbowl posts traces to its source transaction.
The client keeps the QuickBooks they trust and does the inventory work upstream, in Fishbowl. The entry QuickBooks gets is built from a real receipt, shipment or count, posted on a schedule, tied to the document behind it. Nothing for the client to rekey, nothing for you to rebuild.
The work happens in Fishbowl
Receive, pick, ship, count, adjust. Quantities and cost move in Fishbowl, by scan or by an approved draft.
Fishbowl builds the entry
Invoice, bill, inventory asset, COGS, adjustment. Cost comes from the actual receipt, not an estimate.
Posted on schedule
Entries go to QuickBooks Online on the schedule you set, as transactions, not a pile of journal entries.
You tie it out
Every line Fishbowl posts traces back to its source transaction, the user who approved it and the time. Inventory asset reconciles to the item list in Fishbowl.

Clean books
Inventory is where client books go wrong. This is the AI that keeps them right.
Fishbowl's AI Operations Specialist
Working from the client's live stock
- Watches on hand, committed and on order
- Drafts the POs and the adjustments
- Shows the rows it used
- Waits for a person to approve
- Fishbowl posts the entry to QuickBooks
| TodayHow inventory clients run | becomes | With FishbowlWhat the books look like instead |
|---|---|---|
| Counts live in a spreadsheet, or in someone's head | Quantity in QuickBooks is quantity on the shelf | |
| Negative quantities on items sitting right there on the shelf | Overcommits are caught at the order, before a negative reaches the books | |
| COGS posts on some sales and not others | COGS on every sale, at the cost that actually shipped | |
| A journal entry plugs the inventory asset every month | Inventory asset ties to the item list. No plug | |
| Stockouts on the best sellers, overbuys on the rest | Reorders drafted before the stockout, waiting on your client's approval | |
| Three people, three answers to the same question | One question, one number, with the rows under it | |
| Kits and assemblies sold at a cost nobody can explain | Assemblies costed from the parts that went in |
Drafts everything. Posts nothing on its own.
Every write ends at a person. There is no path where the AI reaches the ledger by itself.
One question. One number. With the rows.
Figures are calculations on the client's records, never a guess, with the underlying rows there to review.
Month-end is a tie-out, not a rebuild.
Overcommits are caught at the order. The adjusting entry becomes a check, not a correction.
Data and approvals
Keep the data. Keep the approval. Keep the receipts.
How the AI handles a client's books, in plain terms. Written to be forwarded.
It sees what your login sees.
The AI runs with the permissions of the Fishbowl user asking, in the app or from Claude. The accountant's login sees what the client gives it, and nobody gets a wider view by asking the AI.
Try it: ask for a location your login can't open.
Nothing is written without a person's go-ahead.
Reads need no confirmation. Every draft shows a summary first and saves only when someone approves it. There is no path where the AI posts on its own.
Try it: every draft ends at a confirmation card.
Your data does not train general-purpose AI models.
Fishbowl will not use Customer Data that is identifiable to Customer to train or improve general-purpose artificial intelligence models.
Where it's written: Terms and Conditions §17.6.
Every number traces to a record.
Figures are calculations on your records, not a guess. Drafts show the rows they used. Postings to QuickBooks carry the source transaction, the user and the time.
Try it: expand "Built from" under any draft; open the audit trail on any posting.
Questions accountants ask
Frequently asked questions
Does the AI touch the general ledger on its own?
No. It drafts records in Fishbowl: purchase orders, transfers, adjustments, sales orders. A person approves each one. The accounting entries post to QuickBooks on the schedule set in Fishbowl, from approved transactions.
What posts to QuickBooks, and as what?
Customer invoices, vendor bills from received purchase orders, inventory asset and COGS movements, cycle count and scrap adjustments, and completed work orders.
Can my firm use its own AI tool instead?
Yes. Fishbowl Inventory connects to Claude, ChatGPT and any assistant that supports the MCP open standard. You sign in with your Fishbowl login, so your permissions carry over exactly, and anything that would write to Fishbowl still waits for a person to approve it.
Which QuickBooks editions?
Intuit Enterprise Suite, QuickBooks Online Plus and Advanced, and QuickBooks Desktop Enterprise. Xero as well.
My client assembles or kits products. Does this cover it?
Yes. Bills of materials, work orders and finished goods costed from the parts consumed, so COGS on an assembled item posts at its real cost. Forecasting and build-ready answers (what can we build from what's on hand, what's short) come from the AI. For regulated, multilevel production, and for clients on QuickBooks Desktop or Enterprise, Fishbowl Advanced Manufacturing adds MRP, routing, WIP and lot traceability. Distributors, wholesalers and ecommerce sellers on QuickBooks remain most of the base.
